What to Do If You Are Not Receiving Website Form Emails

This guide explains what to check if you are not receiving email notifications from a form on your WordPress website. Website form submissions may still be stored in WordPress even if email notifications are not being delivered.

This article is for WordPress website editors who manage enquiry forms, contact forms, booking enquiry forms, donation forms, or other website forms.
It is especially relevant if your website uses Gravity Forms and you are concerned that form notification emails are not arriving in your inbox.
Before You Start

- The page where the form appears
- The name of the form, if known
- The email address that should receive the notification
- The date and approximate time the issue was noticed
- Whether the issue affects one form or multiple forms
- Whether form entries are appearing in WordPress

Your email hosting may be provided by Acton BV, Microsoft 365, Google Workspace, another IT provider, or another email service.
Acton BV still provides email hosting for some existing clients. However, for a number of years, we have advised clients to move to enterprise email providers such as Microsoft 365 or Google Workspace. We no longer provide new email hosting services.

First, check whether the form notification email has gone to your spam or junk folder.
Also check any quarantine or filtering system used by your email provider, especially if your organisation uses Microsoft 365, Google Workspace, or an external IT provider.

Check Whether the Form Entry Is Stored in WordPress
If your website uses Gravity Forms, form submissions are normally stored in WordPress. To check form entries:
Forms > [Select the relevant form] > Entries
Check whether recent submissions are listed.
If the entries are visible in WordPress, the form itself may be working, but the email notification may not be reaching the intended inbox.

Confirm the Notification Email Address
Check who should receive the notification email.
If the notification is going to an old staff address, a misspelled address, or a mailbox that is no longer active, the notification may fail or go unnoticed.

Confirm Who Provides Your Email Hosting
Email delivery issues can involve several services. It is important to confirm who provides your email hosting. This may be:
- Acton BV, for some legacy email hosting clients
- Microsoft 365
- Google Workspace
- Your IT support provider
- Your domain registrar
- Another email hosting provider
If your email is provided by a third party, Acton BV may be able to check the website form and sending configuration, but your email provider may also need to investigate delivery, filtering, or mailbox issues.

Important Notes
Website form email notifications are useful, but they should not be treated as the only record of form submissions.
If your website uses Gravity Forms, the form entries stored in WordPress provide an important record of submissions. Website editors should check entries regularly, especially for important forms such as contact forms, booking enquiries, donation forms, school enrolment forms, or sales enquiries.
Email delivery can be affected by:
- Spam filtering
- Email security settings
- Microsoft 365 or Google Workspace configuration
- DNS records
- Domain authentication settings
- Mailbox rules
- Full mailboxes
- Disabled or removed email accounts
- Website SMTP configuration
- Third-party email service changes
For this reason, not receiving a notification email does not always mean the website form has failed.
Common Problems
Problem: The form entry is in WordPress, but no email was received
This usually means the form submission was recorded, but the notification email did not arrive in the intended inbox. Check spam folders, mailbox rules, the recipient email address, and your email provider’s filtering system.
Problem: No form entry appears in WordPress
If no entry appears in WordPress, the issue may relate to the form itself, the page, caching, a plugin conflict, or user submission behaviour. Contact Acton BV with the page URL, the form name, and details of the issue.
Problem: Notifications are going to the wrong person
The form notification settings may need to be updated. Contact Acton BV and provide the correct email address for future notifications.
Problem: A staff member has left and enquiries are being missed
If a notification email address belongs to a former staff member, the form should be updated to use the correct address. You may also need to check whether that mailbox is still active or whether emails are being forwarded.
Problem: Your IT provider says the issue is with the website
Email delivery often involves both the website and the email provider. Acton BV can check the website form, Gravity Forms settings, and sending configuration. Your email provider may also need to check spam filtering, quarantine, DNS records, and mailbox settings.
